What you'll accomplish
By the end of this guide, you'll use Claude Pro to handle your most time-consuming documentation tasks — 504 plan write-ups, MTSS documentation packets, and multi-part compliance reports — by feeding Claude your notes and district templates and getting complete, professional documents back.
What you'll need
Go to claude.ai, sign in, and upgrade to Pro. The key advantage of Claude Pro for compliance documentation is long context — it can hold and work with much larger documents than the free tier, which matters when you're uploading a multi-page student evaluation report and asking it to extract information for a 504 plan.
Start a test conversation: "Hi, I'm a school counselor. I'll be using you to help draft 504 and MTSS compliance documentation. I'll give you my district templates and student data; you'll help me produce accurate first drafts."
In a new Claude conversation, click the paperclip (📎) icon and upload your district's blank 504 template (the Word or PDF version). Then tell Claude what it is:
What to type: "This is my district's standard 504 plan template. Please read and understand its structure — I'll be providing student data and asking you to help me fill it out."
Claude will confirm it has read the template and describe the sections it found. This is your baseline for all future 504 documentation in this conversation.
What you should see: Claude describing the sections of your template (Present Levels, Disability Documentation, Accommodations, Signatures, etc.) back to you — confirming it understands the structure.
Now give Claude the information it needs to fill in the template. Use anonymized identifiers (student initials or ID number, not full name). Paste or type your notes:
What to type:
Student: [initials, grade]
Disability: ADHD - Inattentive Type, diagnosed [year] by [type of provider]
Functional limitations: Difficulty sustaining attention on lengthy reading tasks; struggles to follow multi-step directions without visual cues; significant test anxiety manifesting as avoidance and performance below demonstrated ability
Teacher observations: Reports losing focus after 10-15 min of sustained work, frequently needs directions repeated, performs better in small group and 1:1 settings

Please fill in the Present Levels of Performance section and the Accommodations section of the 504 template using this information.
Claude will draft the specified sections in the language and format of your district's template. Review for accuracy — verify that:
Ask Claude to revise specific sections if something is off: "The accommodations section should include a specific reference to extended time on assessments — please add that."
Without closing the conversation, you can continue using the same template context for MTSS documentation. Upload your MTSS tier documentation template:
What to type: "Now I'm going to share our MTSS Tier 2 documentation template. Same approach — read the structure, and I'll give you student data to complete it."
This keeps all your district's compliance document structures in one working session.
For students requiring comprehensive documentation (initial 504, meeting notes, teacher notification, parent letter — all for the same student), handle these in sequence in one conversation:
What to type: "Now please draft the parent notification letter that accompanies this 504 plan. The letter should: explain that a 504 meeting occurred, summarize the disability finding, list the accommodations, and invite the parent to contact me with questions. Warm, professional tone."
Claude maintains context from the previous 504 documentation and produces a letter consistent with what was documented.
504 Present Levels and Accommodations:
